Refund Policy
Registered Programs and Private Lessons

Specialty Workshops
Participants may withdraw and receive a full refund provided the request is received at least 48 hours before the first scheduled class or lesson.
No refunds or credits will normally be issued after this deadline unless an extenuating circumstance exists.
Extenuating circumstances include:
documented illness or injury;
compassionate circumstances;
death in the immediate family.
Supporting documentation may be required.
No refunds are issued for individual missed classes.
Day Camps and Multi-Day Programs

March Break Camps
Holiday Camps
Multi-day Workshops
Participants may withdraw and receive a full refund if the request is received no later than 12:00 p.m. (noon), ten calendar days before the program begins.
After this deadline, refunds will only be considered for documented medical or compassionate reasons.
Program supply fees remain non-refundable.
No refunds are issued for individual missed camp days.
Reserved Drop-In Programs

Specialty Drop-In Programs
Reservations may be cancelled for a full refund provided the cancellation occurs before the scheduled program start time.
No refunds will be issued after the class has begun.
Facility Rentals

Birthday Parties
Multi-purpose rooms
Facility Rentals (Anthony Pavillion, Arena dry floor, Credit Union Rec Plex Grounds)
Rental must be paid in full at the time of booking, unless otherwise indicated in event contract. Cancellations made more than 7 days prior to scheduled event will receive a full refund. Cancellations made between 48 hours and 7 days prior to scheduled event will receive a 50% refund. Events cancelled less than 48 hours prior to event date will receive no refund.
Membership Refunds
Annual Memberships
Annual memberships may be cancelled for a full refund within 14 calendar days of purchase.
After the 14-day grace period, refunds are only considered for:
permanent relocation outside the region;
documented medical condition preventing participation;
death of the member.
Approved refunds are normally prorated based on the unused portion of the membership.
Monthly Continuous Memberships
Members may cancel a continuous monthly membership at any time.
Scheduled future payments will stop following the notice.
Payments already processed are non-refundable except for approved extenuating circumstances.
Facility Closures
Where Credit Union Rec Plex cancels a program due to:
facility maintenance;
weather;
instructor availability;
operational reasons;
participants will receive either:
a make-up class;
an account credit; or
a full refund.
The method of compensation will depend on the nature of the cancellation.
Program Cancellations by Credit Union Rec Plex
Credit Union Rec Plex reserves the right to cancel or combine programs due to:
insufficient registration;
instructor availability;
facility availability;
operational requirements.
Participants will receive a full refund.
Gift Cards
Gift cards are non-refundable and cannot be redeemed for cash.
If a purchase made using a gift card is refunded, the refund will be returned as an account credit or back to the original gift card.
Refund Processing
Approved refunds will normally be processed within 10–15 business days.
Refunds will be issued to the original method of payment whenever possible.
Cash, debit and cheque transactions may be refunded by cheque.
Credit card purchases will be refunded to the original credit card.
Exceptional Circumstances
Credit Union Rec Plex recognizes that situations may arise that are not specifically addressed within this policy.
The Chief Executive Officer, or designate, may approve exceptions where circumstances are reasonable, documented and in the best interest of both the participant and the organization.
Appeals
Individuals who disagree with a refund decision may submit a written appeal to the Chief Executive Officer within 30 calendar days of receiving the decision.
The decision of the Chief Executive Officer shall be final.
